Estimate only, and it assumes freed hours turn into money. In practice most teams reinvest them as capacity — absorbing growth without the next hire — so read the dollar figure as the value of the time, not as payroll you would cut. Actual results depend on how repetitive your questions are, your knowledge base coverage, and how you route escalations. Savena's cost assumes one seat per agent you entered and bills the deflected conversations as AI resolutions; Meta's pass-through WhatsApp fees are not included.

How the ROI calculation works

The AI customer support ROI calculation has three steps. First, multiply your monthly conversation volume by your AI deflection rate. The result is the number of conversations resolved by AI without an agent involved.

Second, multiply deflected conversations by your average handle time to get agent minutes saved per month. Convert to hours and multiply by your fully-loaded cost per agent hour to get monthly dollar savings. Multiply by twelve for annual savings.

The formula:
annual_savings = monthly_conversations × deflection_rate × handle_time_hours × agent_cost_per_hour × 12

The calculator then subtracts what Savena costs to show net annual savings. That cost has two parts: a flat $99/month platform fee covering every channel, every feature and unlimited conversations (3 team members included, $25/month each after that, both 12% less on yearly billing), and $0.99 for each conversation the AI resolves on its own. Conversations the AI escalates to a human are not charged, so the cost side only grows with work the AI actually took off your team.

How to count conversations: a conversation is one customer thread, however many messages it contains, and it closes after 7 days of inactivity. Enter threads per month here, not individual messages.

Frequently asked questions

How does the AI customer support ROI calculator work?

The calculator multiplies your monthly conversation volume by your AI deflection rate to get the number of conversations resolved without an agent. It then multiplies those deflected conversations by your average handle time to get hours saved, and by your fully-loaded agent cost per hour to get dollar savings. It adds a smaller second figure for the conversations AI does not deflect, where the agent still gets a drafted reply and the customer context: those are credited a 15% reduction in handle time. Total saved hours are capped at your team's actual capacity, so the estimate can never claim to save more time than your team has. Annual savings are the monthly figure times twelve.

What is a realistic AI deflection rate?

For SMB and mid-market support teams, AI deflection rates typically land between 20% and 60%. Teams with a high share of repetitive questions, a well-maintained knowledge base, and clear escalation rules tend to land in the upper half of that range. Teams with mostly account-specific or transactional questions land lower.

What costs should I include in the agent cost per hour?

Use a fully-loaded cost: base salary plus benefits, payroll taxes, software seats, and overhead, divided by actual working hours per year (typically around 1,800 to 2,000 hours after PTO and holidays). A common SMB range is $20 to $40 per hour.

Does this account for the Savena subscription cost?

Yes, both parts of it. Savena charges a flat $99/month platform fee including 3 team members ($25/month for each one after that), plus $0.99 for each conversation the AI resolves on its own. The calculator sizes the platform fee to the number of agents you entered, bills your deflected conversations at the resolution rate, and subtracts the total from gross savings. Switching to yearly billing takes 12% off both the platform fee and the extra seats ($87 and $22/month), which the calculator reflects in net ROI. Meta's pass-through WhatsApp Business fees are not included in the estimate.

Why does handle time matter?

Handle time turns deflected conversations into hours saved. A team with 8-minute average handle time saves twice as much per deflected conversation as a team with 4-minute handle time. Include after-call work and context-switching time in your estimate, not just live talk time.

Why does changing the number of agents barely move the savings?

Savings come from the work AI takes off the queue, and your headcount does not change how many conversations get deflected. Agents sets two other things: your monthly team cost, and a ceiling — the estimate never claims to save more hours than your team actually has, so a small team on a very large volume will see the figure capped. Agents also determines what the freed time means in context, which is why the results show capacity freed as a share of your team.

Should I expect this to show up as a lower payroll bill?

Usually not, and the estimate should not be read that way. Most teams reinvest freed hours as capacity: they absorb growth, cover more channels, or drop response times instead of reducing headcount. The dollar figure is the value of the time AI gives back, which is why the results also show how much additional monthly volume the same team could handle.
